Office Manager
Thanks for your interest in Oklo! We are searching for an Office Manager to join our Idaho Falls-based radioisotopes team.
Position Description
The Office Manager serves as the operational hub for the Idaho Falls workplace, ensuring the office and facility remain organized, functional, secure, and welcoming. This role coordinates workplace services, vendors, supplies, site access, employee onboarding and visitor logistics, and day-to-day facility needs so employees can remain focused on their work.
The Office Manager also serves as the onsite coordination point for facility-related requests and activities. This role will maintain visibility across ongoing work, connect internal teams and external service providers, document ownership and dependencies, and track requests through completion. Decisions requiring specialized technical expertise will remain with the appropriate Oklo functional owners.
The Office & Facilities Manager will partner closely with Oklo’s Business Operations, People, IT, Finance, Security, and Environmental Health and Safety teams to support consistent company-wide processes at the Idaho Falls location.
Specific responsibilities may include:
Front Office & Communications
- Welcome visitors and coordinate site access in accordance with Oklo’s security requirements.
- Manage incoming and outgoing mail, shipping, office communications, and shared workplace information.
- Serve as the primary point of contact for day-to-day office and facility needs.
People & Culture Support
- Coordinate the workplace portions of employee onboarding and offboarding, including workspaces, equipment, badges, and office orientation.
- Coordinate onsite logistics for meetings, employee events, workplace activities, and site tours, including scheduling, visitor communications, space setup, refreshments, access coordination, and day-of support.
- Help create a welcoming, inclusive, and productive workplace experience.
Facilities & Vendor Coordination
- Oversee the functionality, organization, and upkeep of office and common areas.
- Coordinate with landlords, cleaners, maintenance providers, and other vendors, including obtaining quotes, processing invoices, and monitoring service.
- Coordinate preventive and corrective maintenance for HVAC, electrical, plumbing, janitorial, furniture, equipment, access-control systems, and other general building services.
- Obtain quotes, confirm scopes of work, facility required approvals, schedule site access, and track maintenance, inspections, repairs, and facility-related requests through completion.
- Perform routine onsite tasks, including equipment inspections, basic furniture moves, approved cable connections, and authorized device restarts.
- Coordinate larger office improvements, equipment installations, cabling work, and other facility projects while minimizing disruption to employees.
Cross-Functional Facilitation
- Serve as the onsite coordination point for facility-related activities, connecting in-person and remote employees, external service providers, and the appropriate Oklo teams.
- Facilitate and provide basic hands-on support for onsite work under the direction of the responsible technical or functional owner when specialized expertise or approval is required.
- Maintain visibility into ongoing facility work by documenting scope, ownership, dependencies, approvals, timelines, and status.
- Communicate schedules, outages, access restrictions, safety requirements, and project updates to affected employees and stakeholders.
- Track requests through completion and promptly escalate delays, unclear ownership, unexpected conditions, or safety concerns.
- Ensure work affecting specialized spaces, building systems, equipment, or IT infrastructure is reviewed by the appropriate Oklo teams before it begins.
Supplies & Asset Management
- Order and maintain office, kitchen, conference-room, and other general workplace supplies.
- Track office equipment, furniture, keys, badges, and workplace assets in partnership with the appropriate Oklo teams.
- Coordinate the delivery, placement, inventory, and return of general workplace and technology equipment.
- Identify opportunities to improve vendor service, purchasing, and cost efficiency.
Finance, Safety & Compliance Support
- Process purchase orders and invoices, track office expenses, and reconcile assigned corporate-card transactions.
- Maintain organized facility, vendor, purchasing, and workplace records.
- Support local safety, security, inspections, and emergency-preparedness activities in partnership with the appropriate Oklo teams.
- Identify and escalate facility, safety, or security concerns.
Minimum Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- 3+ years of relevant office management, facilities coordination, or workplace operations experience.
- Experience coordinating vendors, maintenance, purchasing, and workplace logistics.
- Experience tracking cross-functional requests, projects, or work activities through completion.
- Proficiency with Microsoft Office, Google Workspace, Slack and the ability to learn new systems.
- Strong written and verbal communication skills.
- Ability to work onsite at the Idaho Falls location.
- Experience supporting engineering, research, laboratory, manufacturing, or other technical teams is preferred.
- Ability to lift or move 25lbs

About Oklo travel requirements:
Oklo requires remote employees to travel to headquarters (Santa Clara, CA) twice a quarter annually, based on business or team needs, including attendance at team meetings, off-sites, and other company events or gatherings. For the first two weeks of onboarding, employees are required to be in person at headquarters in Santa Clara, CA.
About Oklo compensation:
Hourly: $28-$40/hour
