You’ll be a key partner supporting various Human Resources, Security, IT, and Facilities requirements, and as the go-to person for our team you’ll coordinate appropriate resource allocation and provide support and guidance whenever needed. The ISR (Intelligence, Surveillance & Reconnaissance), Aviation, and Security (IAS) business area is a leader in ISR and aviation, it is a leading prime manned and unmanned aircraft systems integrator for innovative, high-performance ISR and aviation systems. Its end-to-end Command, Control, Computers, Communications and Intelligence, Surveillance & Reconnaissance (C4ISR) capabilities encompass design, integration, test, certification, ground/flight training and complete logistics support. IAS tailors solutions to customer cost, performance, and schedule requirements and designs to consistently exceed expectations – with an unrivaled record of on time and on (or under) budget deliveries.

Responsibilities:

  • Welcome, screen, and badge visitors in accordance with security procedures. Answer and direct incoming calls professionally.
  • Maintain and manage office supply inventory to ensure availability.
  • Receive, sort, and distribute daily mail deliveries. Facilitate shipping and receiving of office items.
  • Assist in coordinating meetings, including scheduling, conference room setup, catering, and IT equipment requests.
  • Provide administrative support to on-site personnel, including preparing and submitting expense reports and purchase requisitions.
  • May serve as the Facility Security Officer (FSO), maintaining personal and facility clearances and providing security education and briefings.
  • Assist Human Resources with new employee orientation.
  • Assist the organization's management by providing administrative support to onsite Vice Presidents and/or Directors as needed.
  • Oversee the daily workflow of the office and ensure that office operations are efficient and align with the policies and procedures of the organization.
  • Supervise administrative coordinators, and other support staff including hiring, training, and evaluating employees, as well as scheduling and managing their workload.
  • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to office operations and address issues in the office, from interpersonal conflicts to technical problems.
  • Organize office events, meetings, and other gatherings, ensuring that all details are handled from logistics to accommodations and equipment.
  • Ensure that the physical environment of the office is maintained, which includes organizing repairs, managing cleaning and maintenance schedules, and ensuring compliance with health and safety regulations.
  • Travel to local SNC offices in Texas as needed.
  • Support budget planning and tracking budgets for facilities services, maintenance activities, and other office operations like renovations and event planning. Handle basic bookkeeping tasks, process invoices, and manage expenses.

Qualifications You Must Have:

  • Bachelor's degree in Business Administration or related field.
  • 7+ years of relevant experience in office administration.
  • Relevant experience can be considered as a substitute for the required educational qualifications. In the absence of a degree, a minimum of 11 years of related experience is required.
  • Higher level relevant degree may substitute for experience.
  • Advanced in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, OneNote and SharePoint Online), Multi-line Phone Systems (e.g. Cisco Attendant Console), Facility Access Control Systems (e.g. C-Cure, Splan VMS) and Project Management Applications such as Smartsheet.
  • Competent technical skills with experience to support updating and backing-up software, troubleshooting IT issues, and coordinating repairs and maintenance.
  • Competent ability to lead, motivate, and manage office staff, fostering a productive and collaborative work environment.
  • Ability to develop solutions to a variety of complex problems and manage projects.
  • Proven verbal and written communication for interacting with high-level executives, customers, and team members, as well as preparing reports, and other correspondence.
  • Competent technical skills with experience leveraging automation and AI to drive efficiencies.

Qualifications We Prefer:

  • Familiarity with security and clearance processes.
  • Certifications such as Certified Admin Professional (CAP), Certified Associate in Project Management (CAPM) or Microsoft Office Specialist (MOS) are optional but beneficial.
  • Ability to manage multiple tasks, prioritize effectively, and ensure smooth operation of office activities.
  • Ability to handle confidential and sensitive information.
  • Comfortable working under pressure and handling high-stakes situations with poise.
  • Experience maintaining a secured facility, and with industry standard security and safety protocols.
  • Knowledge of the Aerospace and Defense Industry, U.S. military, or Department of Defense (DOD) environment with a familiarity of defense, aerospace, intelligence, and adjacent markets.
  • Familiarity with Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulations (DFARS), Joint Travel Regulations (JTR) and Foreign Clearance Guide (FCG).

Essential Functions:

  • Ability to lift up to 20 lbs regularly.
  • Ability to stand or sit for extended periods.
  • Proficiency with computers and office equipment.
  • Manual dexterity for handling office supplies and equipment.
  • Ability to work in an office environment.
  • Ability to travel may be required.

SNC offers annual incentive pay based upon performance that is commensurate with the level of the position.

This position requires the ability to obtain and maintain a Secret U.S. Security Clearance. U.S. Citizenship status is required as this position needs an active U.S. Security Clearance for employment. Non-U.S. citizens may not be eligible to obtain a security clearance. The Department of Defense Consolidated Adjudications Facility (DoD CAF), a federal government agency, handles the adjudicative aspects of the security clearance eligibility process for industry applicants. Adjudicative factors which affect the outcome of the eligibility determination include, but are not limited to, allegiance to the U.S., foreign influence, foreign preference, criminal conduct, security violations and illegal drug use.
