Mechanical Estimators/Auditors are responsible for identifying, sourcing, pricing, and estimating parts and materials required for vehicle, equipment, and mechanical repairs. This position works closely with mechanics, supervisors, vendors, and customers to ensure accurate estimates, timely parts procurement, and efficient repair operations. Analyzes repair needs, prepares cost estimates, monitors inventory, and helps control shop expenses while maintaining high levels of customer service and operational efficiency.
Essential Duties and Responsibilities
- Review work orders, inspection reports, and repair requests to determine required parts and materials.
- Research and identify OEM, aftermarket, and remanufactured parts for equipment and vehicle repairs.
- Prepare accurate cost estimates for parts, labor support items, and related repair expenses.
- Obtain pricing and availability from multiple vendors to ensure cost-effective purchasing decisions.
- Generate and maintain estimates, quotes, and purchase requests within company management systems.
- Coordinate with mechanics and shop supervisors to verify repair scopes and parts requirements.
- Track parts orders from procurement through delivery and communicate status updates to stakeholders.
- Maintain accurate records of parts costs, vendor information, purchase orders, and repair estimates.
- Resolve discrepancies related to pricing, warranties, shortages, damaged shipments, and returns.
- Assist with vendor negotiations to obtain competitive pricing and improve delivery performance.
- Ensure compliance with company purchasing procedures and budget guidelines.
- Support shop scheduling by ensuring parts availability aligns with repair timelines.
- Maintain a clean, organized, and safe work environment.
- Perform other duties as assigned.
Required Qualifications
- High School Diploma/GED and 3 years’ experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED
- Requires strong knowledge of parts estimating, parts management, fleet maintenance, automotive, truck, heavy equipment, or mechanical repair operations.
- Knowledge of automotive, diesel, heavy equipment, or industrial mechanical components.
- Experience using parts catalogs, inventory systems, and computerized maintenance management systems (CMMS).
- Strong understanding of repair procedures and parts identification.
- Proficiency in Microsoft Office applications, including Excel, Outlook, and Word.
- Ability to read and interpret technical manuals, diagrams, and repair documentation.
- Strong mathematical and analytical skills.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Experience in fleet maintenance or heavy equipment repair operations.
- Knowledge of purchasing and inventory management practices.
- Familiarity with ERP, CMMS, or fleet management software.
- ASE Parts Specialist Certification or equivalent industry certification.
- Experience working with vendor procurement and supplier management.

Physical Requirements
- Ability to sit, stand, walk, and use a computer for extended periods.
- Ability to occasionally lift and carry up to 50 pounds.
- Ability to work in a office environment.
Working Conditions
- Frequent interaction with mechanics, vendors, drivers, operators, and management personnel.
- May require occasional overtime or schedule flexibility to support operational needs.
