Executive Assistant - HP Managed Services

This role is responsible for providing basic tactical and strategic administrative support to upper-level executives within the organization, scheduling appointments, managing complex schedules, handling phone calls and emails, managing travel, coordinating business operations, facilitating leadership team activities and ensuring seamless execution of organizational priorities. The role also entails being the primary point of contact for internal and external stakeholders. The role involves drafting and formatting documents, organizing meetings, and coordinating administrative work within and across departments and divisions. The ideal candidate is highly organized, proactive, professional, and comfortable working in a fast-paced, global environment.


Responsibilities

  • Holds responsibility for performing basic tactical and strategic administrative support tasks for upper executive-level employees of the organization, and is recognized as the top administrative employee in the department or division

  • Manage executive calendars, scheduling conflicts, and priority alignment.

  • Coordinate domestic and international travel, meetings, and executive engagements.

  • Organize leadership staff meetings, business reviews, offsites, and customer events.

  • Prepare agendas, presentations, briefing materials, and meeting follow-ups.

  • Track leadership action items and key business commitments.

  • Draft executive communications, organizational announcements, and employee updates.

  • Partner across Finance, HR, Operations, Marketing, and other teams to coordinate business activities.

  • Support onboarding, organizational changes, and executive transitions.

  • Maintain confidentiality while managing sensitive business and personnel information.

  • Drive operational excellence by improving processes, coordination, and executive effectiveness.

  • Generate statistical and analytic reports for utilization by the organization for strategic planning in the administrative function, and assists in preparing presentations with relevant insights for the executives.

  • Acts as a primary point of contact between upper executive-level employees of the organization and internal/external stakeholders.

  • Conduct basic research tasks, such as gathering information for reports or projects, in collaboration with relevant stakeholders.

  • Drafts and formats routine documents, reports, and presentations, and proofreads and edits documents to ensure accuracy and compliance with company guidelines and policies.

Qualifications

  • 5+ years of Executive Assistant or senior administrative experience supporting Director, VP, or executive-level leaders.

  • Exceptional organizational, planning, and time-management skills.

  • Strong written and verbal communication abilities.

  • Advanced proficiency with Microsoft 365, Teams, Outlook, PowerPoint, Excel, and Word.

  • Experience supporting global organizations and managing multiple priorities simultaneously.

  • Ability to operate independently, exercise sound judgment, and manage confidential information with discretion.

Preferred Experience

  • Experience supporting leaders within technology, services, consulting, or managed services organizations.

  • Familiarity with business planning, financial reviews, strategic planning, and executive operations.

  • Strong project management and stakeholder management skills.

They will build strong relationships across the organization while helping leadership remain focused on delivering business outcomes.  This role is a critical enabler for the Managed Services leadership team and will help drive alignment, execution, and operational effectiveness across the organization.

The pay range for this position is $32 to $49 USD per hour (applies to United States of America candidates only). Pay varies by work location, job-related knowledge, skills, and experience.
