Overview
The Coordinator 4 is responsible for managing a diverse range of services, activities, programs, and operations impacting multiple departments or units. This role involves coordinating events, handling logistics, managing budgets, and ensuring smooth operations. Key responsibilities include organizing and supporting workshops, seminars, and other events, managing communication channels, preparing reports, and collaborating with internal and external stakeholders. The Coordinator also assists in developing processes, maintaining digital content, and supporting research initiatives by preparing proposals, managing grant application processes, and ensuring compliance with policies and procedures. The role requires a high level of organization, effective communication, and the ability to work independently and collaboratively to achieve strategic objectives.
Reporting to the Associate Director, Undergraduate Financial Aid, the Assistant Director will serve as an active member of dynamic, service oriented, and student-centered team. This position will contribute to Yale’s student recruitment and retention efforts by providing outstanding service and educational financing counseling to Yale College students and their families. The Assistant Director will be responsible for a financial aid caseload, with professional judgement decisions being made within established institutional and federal guidelines, and will also provide extensive and timely communications in person, in writing, and on the phone/zoom to students in all aspects of undergraduate financial aid, student employment, and billing. Provide outstanding service and educational financing counseling to students and families (in-person, on the phone/zoom, and for campus recruitment events) Responsibility for a financial aid caseload. Professional Judgment decisions must be made within established institutional, federal, and state guidelines. Review and verify eligibility for all forms of institutional financial assistance and federal financial aid. Explain complex terms and conditions of Federal and College financial aid policies and procedures; Provide comprehensive information to students and families regarding aid policies Provides extensive and timely communication with parents, students (both prospective and current), as well as other campus constituents, in person, email, and on the phone/zoom Serves as an active member of the Financial Aid Review Committee May have an assigned specialty area/program of responsibility Some evening and weekend work will be require, along with other duties as assigned
Required Skills and Abilities
1. Demonstrated excellence in interpersonal and communication skills with emphasis on superior customer service in a high-volume environment. Ability to represent the office in a positive and professional demeanor and appearance. Strong verbal and written communication skills.
2. Demonstrated ability to work independently and proactively as a member of a team. Should be committed to working in a culture of diversity, respect and inclusion. High level of personal responsibility along with a positive and cooperative attitude. Demonstrated initiative and follow through on tasks, taking ownership for assigned functions.
3. Demonstrated ability to manage multiple tasks and handle time sensitive competing priorities. Ability to quickly identify and respond to wide-ranging topics, including taking steps to resolve problems effectively.
4. Ability show sensitivity to a diverse group of students and parents during potentially difficult and come times emotional financial situations. Proficiency in Microsoft Office Word, Excel, Power Point, Outlook.
5. Appreciation and respect for principles of diversity, equity, and inclusion. Ability to engage with diverse individuals (age, gender, nationality, race/ethnicity, profession, sexual orientation, etc).
Preferred Skills and Abilities
1. Bachelor's or Master's degree in a related field such as Public Health, Education, or Business Administration.
2. Proven experience with project management, grant writing, and research administration. Proven experience with both Institutional and Federal Aid analysis and policy. Proven experience with Banner.
3. Knowledge of compliance and regulatory requirements related to research or clinical trials.
4. Proven experience working in an academic or non-profit environment, with familiarity in handling diverse projects and stakeholders.
5. Proficiency in managing digital content, social media, and using collaborative tools such as Qualtrics, Salesforce, or similar platforms.
Principal Responsibilities
1. Assumes primary responsibility for a program, service, activity, operation or function in an assigned area. Develops objectives, practice and procedure and identifies resources to ensure accomplishment of operational goals. 2. Coordinates day-to-day operations in order to achieve designated goals. Ensures effective management and leads the development and implementation of best practices. 3. Designs and implements quality control metrics to identify areas of risk. Analyzes, recommends, and implements strategic solutions to minimize risk. 4. Develops a variety of complex report and other written materials. 5. Provides guidance to and collaboration with internal and external partners as necessary. 6. Develops, oversees and monitors budgets. 7. Develops and maintains specialized training. 8. Performs other duties as assigned.
