Overview

Reporting to the Director of Advancement Systems & Organizational Effectiveness, the Assistant Director, Advancement Systems provides leadership for a newly established Application Management and User Support function within Advancement Systems. This role is critical to modernizing AA&D operations by ensuring effective application management, high-quality user support, strong service standards, and appropriate oversight of system risk. The Assistant Director will lead a team of three professionals and work closely with Advancement Systems and Advancement Technology leadership to improve service delivery, strengthen operational effectiveness, and support strategic priorities across the division.

Key Responsibilities

Leadership & Team Management

  • Direct and develop a team consisting of a Lead, Specialist, and Program Coordinator.

  • Establish priorities, service expectations, and operational procedures.

  • Foster a culture of accountability, collaboration, and continuous improvement.

Application Management & User Support

  • Provide strategic direction and oversight for application management and user support functions.

  • Define, implement, and uphold support standards, processes, and best practices.

  • Oversee application-related operational risk and ensure appropriate controls are in place.

  • Serve as the primary escalation point for complex support and application management issues, and AA&D application inventory.

Continuous Improvement

  • Establish and monitor service metrics, operational dashboards, and performance measures.

  • Drive improvements through data analysis, stakeholder feedback, and process optimization.

  • Identify opportunities to enhance efficiency, user experience, and service quality.

Strategic Planning & Collaboration

  • Partner with Advancement Systems and Advancement Technology leadership to prioritize work and align resources.

  • Contribute to strategic planning, operational roadmaps, and cross-functional initiatives.

  • Coordinate efforts across teams to support organizational goals and modernization efforts.


Required Skills and Abilities

1. Demonstrated ability to establish and accomplish goals aligned with organizational strategic plans with a strong service-orientation and special attention to responding in a timely manner with accuracy and precision.

2. Excellent organizational skills, with exceptional attention to detail and the ability to maintain confidential information. Ability to balance multiple priorities and meet deadlines in a fast-paced environment with direct experience in a financial revenue processing environment.

3. Excellent interpersonal and verbal/written communication skills. Ability to foster and maintain relationships with a range of staff and to work effectively in a large, complex organization. Ability to work creatively, assessing needs and taking existing policies and procedures into account.

Principal Responsibilities

1. Supervises the daily processing of donations to the university which includes pledges, grants and matching gifts to ensure integrity and completeness of data for all constituent types. 2. Manages the creation of accounts and biographical information updates to constituent records from both electronic data feeds and manual entry. 3. Responsible for the integrity of giving and biographical data; generates and reviews various reports to identify potential discrepancies and ensure that necessary adjustments are made. 4. Performs and approves journal staging area (JSA) requests and track Receipt Identification Form (RIF) deposit tracking slips for accuracy and timely processing. 5. Ensures that all batches and other information relevant to donor accounts, pledges and gifts are scanned and indexed in a timely manner and that the information is complete. 6. Develops, mentors, and coaches’ staff; sets individual goals/objectives and, monitors and measures staff performance including annual performance feedback. 7. Responsible for the training of new staff on contribution processing and constituent record updates in line with university procedures and industry best practices. 8. Communicates with other university departments, constituents, alumni and donors regarding the procedures for information processing while providing the best in class customer experience. 9. Coordinates adjustment requests for processing and approval while adhering to university policies and procedures. 10. Works closely with Information Technology Services (ITS) to identify, troubleshoot and track changes or enhancements to various programs and system functionality. 11. Tracks and approves staff time and time off requests in accordance with time off policies and business needs 12. Other duties as assigned. Required Education and Experience Bachelor's degree and five years of relevant experience, or equivalent combination of education and experience.
