This role is ideal for someone with strong mechanical knowledge, exceptional customer service skills, and the ability to coordinate complex repair and rebuild projects from start to finish.

As a Service Planner, you'll act as the primary point of contact for customers, managing repair scopes, estimates, schedules, and communications while working closely with technicians, supervisors, and support teams to ensure successful project delivery.

Job Description:

What You'll Do

Customer & Project Management

  • Serve as the primary contact for customers requiring equipment repairs, rebuilds, and maintenance services.
  • Gather customer information and establish detailed scopes of work to support accurate estimates and quotations.
  • Prepare estimates and quotes for repairs, rebuilds, warranty work, and maintenance projects.
  • Provide customers with repair recommendations, completion timelines, and alternative solutions.
  • Manage changes to project scope, schedules, and budgets throughout the repair process.
  • Deliver regular updates on repair progress and follow up after completion to ensure customer satisfaction.

Planning & Coordination

  • Research machine history, warranties, service records, and technical requirements to develop comprehensive repair plans.
  • Create detailed work breakdown structures, timelines, milestone plans, and resource requirements.
  • Coordinate with service supervisors, technicians, and support teams to ensure successful execution of repairs.
  • Participate in pre-job, mid-job, and post-job meetings to monitor progress and address issues.
  • Track, manage, and communicate repair backlog and project status to internal and external stakeholders.
  • Support continuous improvement activities and identify lessons learned to enhance future service delivery.

Business & Financial Accountability

  • Maintain accuracy of estimates and quotes while managing job profitability and cost controls.
  • Support warranty and goodwill recommendations through technical justification and documentation.
  • Understand customer business needs and risk tolerance to provide appropriate service recommendations.
  • Ensure compliance with company processes, policies, and service excellence standards.

What We're Looking For

Required Qualifications

  • 5-8 years of experience in technical service, parts, warranty administration, repair planning, or a related field.
  • Strong mechanical aptitude and understanding of heavy equipment maintenance and repair.
  • Experience managing customer relationships and coordinating service projects.
  • Strong organizational, communication, and stakeholder management skills.
  • Excellent problem-solving, analytical, and decision-making abilities.
  • Financial and business acumen with experience managing estimates, costs, and budgets.
  • Proficiency with Microsoft Office applications and business management software systems.

Preferred Qualifications

  • Experience working with Caterpillar equipment, engines, and related product lines.
  • Knowledge of service operations, billing practices, and warranty processes.
  • Project management training or certification (PMP) considered an asset.
  • Blue Seal certification considered an asset.
