Compensation

Hourly base pay rate is $18.17 - $27.31/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Job Description

The Automotive Reconditioning Administrator coordinates wholesale and retail vehicle reconditioning through the market center. This role monitors workflow, communicates with clients and internal teams, and ensures estimates, approvals, records, charges, and system data are complete and accurate.

Job Responsibilities

  • Coordinate vehicle reconditioning activities in accordance with client service-level agreements and completion timelines.
  • Prepare accurate estimates for body, detail, mechanical, and pre-sale inspection services for commercial, dealer, rental, retail, and internal vehicles.
  • Communicate estimates, approvals, repair status, and completion updates to clients, technicians, shop management, and operational teams.
  • Enter and verify vehicle, registration, repair, and client-request information in approved systems, including AS400, VCF, and RPP.
  • Maintain and audit client agreements, vehicle files, estimates, repair records, parts orders, completed work, and reconditioning charges.
  • Order, track, and receive approved parts; coordinate with Procurement or Purchasing to confirm pricing and availability.
  • Monitor repair progress, parts availability, transportation needs, workflow assignments, and vehicle throughput to support timely completion.
  • Review completed work and resolve client or internal inquiries related to assigned vehicles, service quality, processing, and billing.
  • Partner with Finance and local management to ensure customers are charged accurately.
  • Follow all safety and health procedures, model safe behaviors, and support Safety Excellence initiatives.
  • Perform other duties and special projects as assigned by management.

Qualifications

  • High school diploma or equivalent required.
  • 3 years of clerical or administrative support experience.
  • Valid driver’s license and safe driving record.
  • Excellent communication, organization, customer service, and problem-solving skills.
  • Advanced computer skills and proficiency with standard office equipment.
  • Ability to perform repetitive data-entry tasks with accuracy and manual dexterity.
  • Ability to sit or stand for prolonged periods and regularly stand, walk, reach, talk, and hear.
  • Ability to frequently stoop, kneel, crouch, bend, squat, and climb.
  • Visual ability sufficient for close, distance, and depth perception.

Drug Testing

To be employed in this role, you’ll need to clear a pre-employment drug test. Cox Automotive does not currently administer a pre-employment drug test for marijuana for this position. However, we are a drug-free workplace, so the possession, use or being under the influence of drugs illegal under federal or state law during work hours, on company property and/or in company vehicles is prohibited.

Benefits

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year.
