Responsibilities:

Serves as half-time Health Project Coordinator for state-funded contract (Center for a Tobacco-Free Finger Lakes) through April 30, 2031 with possibility of extension.

A bachelor’s level project coordinator position is needed to meet our scope of work that includes ongoing outreach to and technical assistance with large healthcare provider systems in our regional eleven-county catchment area.

Under broad guidance from the Principal Investigator and with significant latitude for judgment, will assist with the planning, development, implementation, coordination, monitoring, and evaluation of this large state contract with an 11-county catchment area in the Finger Lakes region of Western New York. The Coordinator will assist and sometimes independently initiate and maintain a high level of communication between contract personnel and multiple healthcare organizations to ensure that contract deliverables are met. High level skills required in communication (including written communication), presentation, organization, management, and problem solving. Solid computer skills with knowledge of word processing, database programs, internet software, email, and statistical programs required. At all times, must demonstrate ability to professionally interact with community-based stakeholders, staff, administrators and faculty – both in person and via online platforms (e.g., “Zoom”). Must work well as part of a team and independently. Position includes independently traveling to organizational sites across the 11-county catchment area for project activities.

In coordination with the Director and Project Lead, this position involves responsibilities that require independent judgment, scheduling, supervision of day-to-day logistics, materials development and inventory, and both short- and long-term strategies for meeting work plan deliverables. This position will provide the project with the ability to provide timely follow-up support of new and existing healthcare systems (medical and behavioral) so they can meet the goals of policy-driven systematic patient tobacco dependence screening, brief office interventions, referrals to evidence-based treatment and ongoing follow-up. Our objective is to maintain the number of partnered health systems at approximately 55 - 85.

ESSENTIAL FUNCTIONS

Provide day-to-day management of project operations under general guidance of the Director (PI) and Project Lead, including but not limited to:

• Carry out all day-to-day project operations within established timelines, including supervising staff and coordination with health systems to facilitate progress and project deliverables.
• Develop and implement task lists and produce project reports for Director (PI), project team, and monthly/annual progress reports for NYS Department of Health.
• Follow guidelines for reporting on distribution of expenses, including identification of annual vendor deliverables and costs.
• Coordinate with other project staff in the tracking of expenditures and provide necessary reporting to Principal Investigator and, as needed, to departmental and university administrators.
• Coordinate overall communication between project and project partners, including the coordination of conference calls (e.g., “Zoom” calls).
• Assist the Director and Project Lead with the maintenance, review and updates of project protocols and standard operating procedures.

Conduct project assessment components of the study, under direction of the Director and Project Lead.

• Qualitative assessments: in coordination with Director and Project Lead; 1) coordinate implementation of  Needs Assessments (e.g., online surveys to stakeholders) 2) conduct field data collection at partner sites, and 3) participate in analyses of quantitative and qualitative data, provision of feedback to stakeholders, and preparation of final reports.

Day to day management of “Train the Trainer” components

• Create, develop, and maintain evidence-based educational and training materials for medical and behavioral health settings (primary care, specialty care, dental, psychiatric, behavioral health).
• Coordinate with Principal Investigator and other stakeholders for maintenance and updates on training components (e.g., PowerPoint slideshows, recorded videos, printed materials, interactive web-based features for tobacco dependence treatment education) and the like.
• Track and maintain communications, procedures and progress with stakeholder / partner teams in implementation of: engagement, assessment, training and evaluation components, including; 1) directing and assisting with mini-grants, training and action plans, 2) monitoring the fidelity of training interventions, and 3) addressing barriers, and making suggestions for improvements).

Oversee Regulatory Compliance

• Adhere to established protocols to organize all materials for IRB amendments and continuing reviews for overall project, and when required by state contract.
• Ensure that staff training in bioethics and human subjects protection meets requirements.
• • Provide compliance documentation as needed.

Provide scientific input

• Maintain knowledge of scientific literature, attend relevant scientific meetings.
• Adhere to evidence-based design of protocols, implementation science, etc.
• Conduct quality control strategies and report to PI.
• In coordination with Principal Investigator, 1) coordinate data management procedures, 3) assist in interpreting reports, and 3) assist in preparation of scientific presentations, publications, and funding applications.

MINIMUM EDUCATION & EXPERIENCE

• Bachelor's degree with major course work in an appropriate health, social or technical field and 2 years of related experience required
• Master's degree preferred
• Or equivalent combination of education and experience
• Experience with healthcare-related projects or research preferred

KNOWLEDGE, SKILLS AND ABILITIES

• Must have the ability to manage multiple activities under pressure and demonstrated ability to meet deadlines. This position requires good judgment, independent thinking, effective organization and multi-tasking skills.  Strong interpersonal and communication skills, including written communication preferred.
• Must be organized, detail oriented, able to work in a team environment, and be able to anticipate needs, prioritize assignments and proactively resolve issues/problems preferred.
• Must have solid computer skills with knowledge of word processing, database utilities, internet navigation, email, and database software preferred.
• Must have excellent interpersonal, presentation, and communication skills, including written communication preferred.
• Knowledge of University policies and procedures, familiarity with personal computers and MS Office (MS Word, Power Point, Excel, etc.) preferred.
