Overview
The Program Manager will work with Dr. Magdalena Cerdá, Professor and Chair of the Department of Chronic Disease Epidemiology at the Yale School of Public Health to oversee a wide range of administrative, research, and strategic initiatives in support of Dr. Cerdá’s research program and role as department chair.
Dr. Cerdá’s research areas relate primarily to: identifying emerging trends in drug-related harms and violence; examining the effect of disasters on opioid use disorder and overdose; identifying and informing policy solutions to reducing drug-related harms and urban violence; and evaluating the impact of novel overdose prevention programs on the health of people who use drugs. Dr. Cerdá’s research uses quantitative methods, combining epidemiologic, econometric and machine learning approaches. Dr. Cerdá’s projects are highly collaborative and focused on policy and practice translation. Dr. Cerdá is also responsible for furthering the research, educational, and service missions of the Department of Chronic Disease Epidemiology and for leading the Firearm Injury Prevention Initiative at the Yale School of Public Health.
The Program Manager will be primarily responsible for (a) overseeing all aspects of research project management and administration, including timelines and deliverables, overseeing IRB and grant documentation, managing data use agreements, managing progress reports to funders, and coordinating the contributions of study investigators; (b) conducting literature reviews and policy scans, preparing progress reports and summaries of scientific research, preparing scientific manuscripts, and drafting policy briefs; and (c) identifying and implementing strategic initiatives and projects in support of the department’s vision to advance academic excellence, public health research and innovation.
Responsibilities:
Manage Dr. Cerdá’s research and department projects and initiatives, maintaining a thorough knowledge of research studies, procedures, timelines, and deliverables.
Oversee project management tasks, including developing project trackers, agenda setting, note-taking and coordinating and scheduling major grant- and center-related meetings of project collaborators.
Oversee grant and Institutional Review Board (IRB) submissions, documentation and reporting procedures, including administrative and coordination support for the single IRB (sIRB) onboarding processes if new study sites are added.
Lead applications to acquire new datasets and manage Data Use Agreements (DUAs).
Support pre-award grant administration activities, including preparing grant documents and assisting with the budget preparation.
Support post-award grant administration activities, including annual subaward execution, preparation and submission of progress reports and other required grant documentation, and processing of payments, reimbursements, and study invoices.
Maintain and regularly update master lists and communications with Co-Investigators, site staff, and key stakeholders.
Conduct literature reviews for ongoing research projects and new grant proposals.
Prepare manuscripts for publication and grant submissions, including drafting sections, managing data tables and reference lists.
Draft presentations and reports for collaborators, including preparing policy briefs and research summaries for non-academic stakeholders.
Develop and oversee scientific events and meetings.
Engage in the fabric of the Yale Firearm Injury Prevention Initiative, participating in activities and discussions around firearm violence.
Required Skills and Abilities
1. Prior experience working with and/or interest in substance use, violence, health systems and policy translation preferred.
2. Strong writing, communication and inter-personal skills and interest in translating research for non-academic audiences. Highly detail-oriented, organized and self-driven, works well independently and with others, willing to learn and take-on diverse tasks.
3. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external partners.
4. Ability to manage multiple projects simultaneously, resolve issues, meet tight deadlines, and be flexible in dealing with changes in approach and deliverables.
5. Prior experience developing and managing IRB protocols and data use agreements.
Principal Responsibilities
1. Oversees the advancement and growth of the program. Gives direction and leadership supporting the philosophy, mission, strategy, and annual goals and objectives. Assumes primary accountability for disseminating and publishing all program information to create public awareness and support of the program. 2. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans. 3. Identifies, solicits, and cultivates community partnerships and collaborations to assist in the development and growth of the program. Develops the metrics to identify and measure the success of the program. Responsible for measurements of grant success and related evaluation. 4. Assists in identifying and evaluating potential future funding sources, and contributes to the submission of grants and contracts supporting the program, including the annual submission and writing of all content areas and budgetary sections of grant applications. Develops and manages the program’s operating budget. 5. Develops the administrative infrastructure of the program. Manages human resource and administrative functions of the program, including staffing and hiring, supervision, performance development, counseling and discipline, if warranted. Oversees and manages information systems, facilities, and space needs. 6. Investigates, identifies, implements, and oversees the maintenance of systems to gather, track, and report information to support the initiatives of the program. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals, and objectives. 7. Initiates, designs, and manages the compilation of program communications; identifying outreach potential, and promoting philanthropic and collaborative support of the program. Contributes to the development and assists in the management of content on the program’s website and monitors all changes and additions to the editorial content. 8. May perform other duties as assigned.
