Overview
This position reports directly to the Supervisor, Academic and Administrative Affairs. The position will provide a high level of administrative support and guidance focused on the clinical fellowship programs in Hematopathology, Microbiology, Chemistry, and Transfusion Medicine with an understanding of the educational objectives for the national regulatory agencies, Yale School of Medicine, Dept. of Laboratory Medicine, and all sub-specialty sections. Assist and or lead in centralizing the administration of all individual fellowships to assure compliance with all objectives and regulatory requirements. Oversee the daily operation and outcome of the fellowship programs; monitor outcomes through performance evaluations, scheduling, and ensuring the effective implementation of didactic activities. Identify administrative challenges, assist in monitoring Fellow/faculty satisfaction and participation; institute and organize solution-based systems and processes when needed in resolving issues. Plan and coordinate the departmental conferences associated with the fellowship programs and CP-only program. Other duties as assigned.
Required Skills and Abilities
1. Demonstrated ability in an administrative support position. Demonstrated experience coordinating Clinical Pathology resident recruitment processes, including managing application workflows through residency recruitment platforms, coordinating interview days and candidate itineraries, communicating with applicants, faculty, and program leadership, maintaining recruitment records, and supporting ranking and match-related activities.
2. Self-directed and self-motivated to initiate and resolve all administrative challenges; ability to make decisions independently or to escalate issues as needed.
3. Ability to handle sensitive and confidential information. Demonstrated professional demeanor. Excellent written and verbal communication skills. Strong attention to detail.
4. Demonstrated ability planning and coordinating events, meetings, and conferences.
5. Demonstrated computer proficiency, specifically with Outlook, Word, Excel, PowerPoint and Zoom. Demonstrated ability handling complex calendaring.
Preferred Skills and Abilities
1. Proven experience with Residency and Fellowship programs preferred.
2. Proven experience working with national regulatory agencies and meeting standard of compliance preferred.
Principal Responsibilities
1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned. Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.Job Posting Date
