Manager, Real Estate & Facilities
The Manager, Real Estate & Facilities is a supporting role on Amentum's Real Estate & Facilities (RE&F) team, working under the direction of the Senior Manager, Real Estate & Facilities. The position keeps the portfolio's day-to-day transactional work moving by gathering and organizing information, pulling and reviewing lease documents, assembling the contents of approval packages, maintaining trackers and records, and following up with the parties involved so that nothing stalls.
This is a hands-on, detail-oriented role for someone who is highly organized and dependable. The Manager compiles and prepares information for review, and the Senior Manager verifies it, confirms accuracy, and owns the decisions, negotiations, and approvals. The role also provides facilities coordination support and offers broad exposure across the RE&F function.
This position reports to the Senior Manager, Real Estate & Facilities, and supports the wider RE&F team. It is a supporting, transactional role. The Manager prepares, gathers, and coordinates, while ownership of financial verification, negotiations, document review, and approvals remains with the Senior Manager. This position is US Remote telework and US Citizenship is required.
Key Responsibilities
Transaction Support
- Manage business development/proposal capture requests for real estate/facility requirements and ensure successful and timely submission to meet proposal team deadlines.
- Support and manage assigned transactions from requirement, market survey, tours, approvals, and lease execution and follow on actions.
- Assist with larger lease transactions as needed in coordination with the Senior Manager, Real Estate & Facilities.
Lease Document and Information Support
- Pull, organize, and maintain lease documents, amendments, and related files, and retrieve and provide lease information when requested by the Senior Manager, brokers, or internal partners.
- Review lease documents to locate and summarize key terms, dates, and provisions such as rent, escalations, options, notice dates, allowances, and CAM or operating-expense clauses, and compile them for the Senior Manager's review.
- Abstract leases and keep the lease and document repository accurate, organized, and audit-ready.
- Track and calendar critical dates and flag upcoming deadlines to the Senior Manager well in advance.
RFA and Approval Package Support
- Gather and compile the information, figures, and documents needed to build Request for Approval (RFA) packages, including Facility Requirement and RFA forms, supporting financial inputs, amendments, and business approvals, and prepare them for the Senior Manager's review and verification.
- Assemble RFA packages, support their circulation and routing once approved, track status, and follow up on outstanding signatures and items.
- Maintain organized approval records, checklists, and version control so that every package is complete and easy to trace.
Broker and Vendor Coordination Support
- Provide information and documents to brokers such as CBRE on request, for example pulling a lease or supplying property or site details, to help keep projects moving.
- Support scheduling, action-item tracking, and follow-ups with brokers, landlords, property managers, and vendors, keeping the Senior Manager informed of status.
- Help keep project activity organized and on schedule by monitoring deliverables and following up on outstanding responses.
Tenant Improvement and Buildout Support
- Assist with tenant-improvement and buildout projects by gathering documentation, tracking schedules and milestones, and following up with contractors, architects, and vendors on status and deliverables.
- Maintain buildout files, budgets, and status logs, and flag items and updates to the Senior Manager for direction.
Facilities Support
- Provide day-to-day facilities coordination support across sites, including logging and routing facilities and service requests, tracking vendor follow-ups, and helping ensure locations have what they need to operate.
Operations and Process Support
- Keep the day-to-day operating rhythm of the real estate and facilities portfolio running by following the team's established processes for lease actions, RFAs, and buildouts and keeping the supporting trackers and checklists current.
- Run recurring operational tasks on schedule, such as the critical-date and option-deadline review, RFA status checks, and open action-item follow-ups, so that nothing falls through the cracks.
- Maintain and help improve standard operating procedures, templates, and file-naming and document-storage conventions so that records stay consistent, accurate, and easy to hand off.
- Coordinate the flow of documents and approvals among brokers, landlords, legal, finance, and internal approvers, tracking each item through its steps until it is complete.
- Monitor lease and facilities obligations and vendor deliverables, such as insurance certificates, CAM reconciliations, and recurring service tasks, and flag exceptions and upcoming items to the Senior Manager.
Portfolio Tracking and Reporting Support
- Maintain the master portfolio tracker, status logs, action items, and critical-date calendar, keeping them current as the working source of truth.
- Compile routine status information and updates for the Senior Manager.
- Gather data and documents to support site tours, surveys and tour books, and space-information requests.
- Keep organized, audit-ready records of leases, amendments, approvals, and correspondence.
Knowledge, Skills & Abilities:
- Exceptional organization and attention to detail, with a proven ability to track many deadlines, documents, and follow-ups at once without letting items slip.
- Comfortable working with numbers and spreadsheets to compile, organize, and cross-check information.
- Clear, professional written and verbal communication, with the ability to prepare well-organized packages, summaries, and follow-ups.
- Proficiency with Microsoft Office, including Excel, Word, PowerPoint, and Outlook, and the ability to learn approval-routing and tracking tools quickly.
- Reliability and follow-through. Chases items to completion and keeps work moving without needing reminders.
- Accuracy and attention to detail. Gathers and organizes information cleanly so that it is easy to verify.
- Organization. Manages many documents, deadlines, and follow-ups across sites and keeps records current.
- Communication. Clear and professional with internal partners, brokers, landlords, and vendors.
- Initiative within scope. Anticipates what the Senior Manager will need next and prepares it in advance.
- Discretion. Handles lease, financial, and personnel information with confidentiality.
Required Qualifications
- Typically 8+ years of experience in commercial real estate, lease administration, or property or facilities management with Bachelor's degree; or 5+ years of relevant experience with Masters degree. Usually with 2+ years of experience leading, mentoring, and/or delegating the work of others.
- Solid working knowledge of commercial lease documents and terminology, including renewals, amendments, options, escalations, TI allowances, and CAM or operating expenses.
- US Citizenship is required.
Preferred Qualifications
- Experience supporting a multi-site real estate or facilities portfolio.
- Exposure to tenant-improvement or construction projects in a coordination or documentation capacity.
- Familiarity with a government-contracting or cleared environment.
- Real estate license or a lease-administration or real-estate certification.
Reporting Relationship
This position reports to the Senior Manager, Real Estate & Facilities, and supports the wider RE&F team. It is a supporting, transactional role. Compensation Details:
120K - 135K depending on experience
