Internal Event Specialist

Roles and Responsibilities:

Event Management

  • Lead internal event planning of approximately 25-30 internal events per year
  • Manage event set-up, registration and break down
  • Assist with collateral materials and promotional items by coordinating with vendors by the placing and tracking of orders and assisting with any troubleshooting

Board meetings

  • Lead internal event planning for US Board meetings with catering, transportation, logistics and other tasks

Invite creation, distribution and tracking

  • Create items (save the date, invites, reminders) and obtain approvals via Kadince
  • Update lists for additional sends by removing invitees who have RSVP’d
  • Prepare weekly summaries of RSVPs for Line of Business (LOB) Hosts

Vendor management

  • Manage vendor relationships including sourcing, onboarding, performance evaluation, and contract coordination

Event Logistics & Materials Management

  • Track event budgets and reconcile expenses post-event
  • Compile post-event reports including attendance data, feedback summaries, and budget actuals
  • Support virtual and hybrid event coordination including platform setup, attendee communications, and technical troubleshooting
  • Material management of Pop-up banners, Tablecloths, Signage and other event items by tracking disbursement and ensuring their return
  • Inventory of supplies (name tags, place cards, etc.) and order supplies when needed

Maintain and update

  • US Events team spreadsheets and Bank Wide Calendar
  • US Events mailbox
    • Check for messages throughout the day and respond or forward to the appropriate US Events colleague

Knowledge and Skills:

  • Degree in Hospitality, Communications, Marketing, or related field preferred
  • 2-5 years of experience in event coordination or administrative support preferred
  • Strong verbal and written communication, and presentation skills  
  • Excellent planning and organizing skills
  • Strong technical skills: Proficient in Microsoft Office Suite; Familiarity with Salesforce is a plus
  • Strong time management skills
  • Attention to detail is critical
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience with Kadince or similar approval workflow tools is an asset

  • Efficiency Understand that everyone's time is valuable and effectively complete requests. Strong knowledge of CIBC internal tools, event platforms, and operational processes.
  • Computer savvy - Easily navigate and focus on multiple software applications and dual monitors.  
  • Collaboration - Partner effectively with vendors, LOB hosts, and the broader US Events team to ensure seamless event delivery and a consistent stakeholder experience.

At CIBC, we offer a competitive total rewards package. This role has an expected salary range of $70,000.00 - $80,000.00 for the Chicago market based on experience, qualifications, and location of the position. The successful candidate may be eligible to participate in the relevant business unit’s incentive compensation plan, which may also include a discretionary bonus component. Work Environment: Hybrid, 4 days in office, 1 day remote
