Overview

The HR Systems and Process Support Specialist is responsible for a flexible portfolio of HR operational programs and system-supported processes. The position combines hands-on responsibility for specialized HR operational work with analysis and improvement of the systems, controls, and processes that support service delivery.

The role serves as an expert HROS resource for organizational data and organizational management processes, Child Scholarship operations and related technology, functional testing and validation, data quality, reporting, and selected employee programs. The position analyzes recurring issues, strengthens operational controls, documents requirements and procedures, and supports the implementation of system and process improvements in collaboration with functional and technical partners.

Assignments include recurring and cyclical operations as well as project-based work. The portfolio may change as processes are standardized, automated, transferred, or newly assigned. Success in the role requires sound judgment, analytical thinking, strong organization and follow-through, comfort working with systems and data, effective collaboration, and the ability to independently balance operational deadlines, testing, projects, process improvement, and changing service needs.

1. Systems-Enabled HR Operations: Performs and manages specialized operational work using HR systems and related platforms. Reviews requests, records, process conditions, and system results; determines the appropriate operational action within established policies, procedures, business rules, and access controls; and ensures accurate completion.

2. Organizational Data and Process Administration: Administers organizational data and structure processes, including the creation and maintenance of organizational relationships, reporting structures, roles, and related records. Reviews requests for completeness and accuracy, resolves inconsistencies, and considers downstream data and system impacts.

3. Operational Program Administration: Administers assigned operational programs and system-supported processes. Applies established program requirements, monitors deadlines, controls, and operational results, coordinates required actions, and identifies matters requiring additional functional, policy, or technical review. Supports recurring and cyclical work and adjusts procedures and controls as programs, systems, and service needs change.

4. Business Process Analysis and Improvement: Reviews recurring processes, controls, intake methods, and handoffs to identify errors, duplication, delays, and opportunities for improvement. Develops practical recommendations to strengthen accuracy, reduce rework, improve service delivery, and automate repeatable work.

5. Testing and Change Support: and regression testing for system releases, cyclical processes, operational changes, and new tools. Develops or refines test scenarios, documents results, supports issue analysis, and validates that changes function as intended from an operational perspective.

6. Data Quality, Reporting, and Controls: Reviews reports, system outputs, and operational data to identify discrepancies, trends, control gaps, and recurring issues. Researches contributing factors, completes or coordinates appropriate operational corrections, and recommends changes when broader process or system action is needed.

7. Documentation and Knowledge Support: Develops and maintains process documentation, business requirements, decision logic, testing materials, controls, job aids, and related operational resources. Within the assigned portfolio, identifies when existing knowledge articles and employee-facing resources require revision, when new content is needed, or when outdated content should be retired. Coordinates with policy owners, subject-matter experts, and knowledge-management partners to validate substantive content and implement approved changes.

8. Functional Guidance and Training: Provides individual and group guidance and training related to assigned programs, systems, processes, documentation requirements, and operational procedures. Explains requirements, assists users and submitters in resolving process questions, develops training materials, and shares knowledge to support accurate and consistent execution of work.

9. Collaboration and Issue Resolution: Collaborates across HR and with technical, operational, and external partners to clarify requirements, coordinate actions, research issues, and support accurate outcomes. Recognizes matters outside established authority and escalates them with relevant facts, analysis, and operational impact.

10. Projects and Additional Responsibilities: Participates in operational projects, system changes, implementations, and continuous-improvement initiatives. Supports cyclical and high-volume priorities and assumes additional or changing responsibilities as work, systems, and organizational needs evolve. Performs other duties as assigned.


Required Skill and Abilities

1.Strong analytical and problem-solving skills, with the ability to evaluate records, workflows, data, and system results and determine appropriate operational action within established authority.

2.Demonstrated ability to translate operational needs into clear process requirements, testing scenarios, controls, documentation, and practical improvement recommendations.

3.Strong working knowledge of HR systems and data, with the ability to learn specialized platforms, understand downstream impacts, and protect data accuracy and confidentiality.

4.Excellent organizational skills and follow-through, with the ability to balance cyclical production work, time-sensitive issues, testing, and project responsibilities.

5.Strong written and verbal communication skills, including the ability to clarify requests, document findings, explain processes, and work effectively with technical and functional partners.

Principal Responsibilities

1. Leads a unit or function, including overseeing and coordinating projects or work processes, and distributes the work of a minimum of two full time employees. 2. Coordinates the work in a unit. Coordinates projects and work processes. Serves as a principle source of information to clients who have business with or interest in the units. 3. Serves as a principle source of information on specialized reproduction techniques and equipment problems. 4. Performs a range of reproduction functions; demonstrates reproduction processes to other staff and visitors. Collects, compiles and evaluates time and production data. Prepares reports. 5. Explains and describes use of specialized computerized digital conversion systems, scanners, imaging and camera equipment. 6. Operates computerized microfilm digital conversion systems, scanners, imaging, and camera equipment. 7. Maintains financial reports, reconciles accounts, and inputs/transfers data based on experience with current University Systems. Reviews accounting records for accuracy and reporting. Prepares reports. Determines methods and materials for production. 8. Reviews unit products for accuracy and completeness. Processes film according to archival standards. Converts materials to digital image. Sets up, tests, operates, disassembles, cleans, maintains, and repairs specialized equipment. 9. Provides client service and technical support related to the program or function. Ensures client and users are provided with appropriate and efficient assistance. 10. May perform other duties as assigned. Required Education and Experience Two years of related work experience in the same job family and a Bachelor's Degree in a related field; or an equivalent combination of education and experience.
