The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Manages and maintains key data systems that support campus dining operations, including student meal plans, menus, recipes, nutritional information, and allergen data. Ensures accurate student account management and serves as a primary point of contact for students and families regarding meal plan options, billing, and policies. Maintains and audits digital operating systems that manage menus, nutritional data, allergen information, and the recipe database.

Essential Functions:

  • Enters newly developed recipes from the Culinary Team into the digital menu management system with accuracy and consistency. Updates and modifies existing recipes based on guidance and revisions provided by the Culinary Team.  Identifies and resolves product linking issues within the system. Runs and analyzes reports to troubleshoot and correct data discrepancies. Participates in recipe development sessions to ensure real-time documentation and accurate tracking of ingredients, preparation methods, and nutritional components. Audits incoming vendor item data to ensure accurate tagging and integration, enabling proper nutritional and inventory coding.
  • Oversees and administers security access across all dining systems and software platforms to ensure appropriate system use, data security, and compliance. Develops, maintains, and regularly updates security authorization charts and access control documentation to support accurate role-based permissions. Conducts periodic reviews and audits of user access to maintain data integrity, mitigate security risks, and ensure compliance with operational and institutional requirements. Continuously evaluates and refines access protocols to enhance security, efficiency, and system governance across all dining technology platforms.
  • Performs regular walkthroughs of food service areas to update digital signage with last-minute menu changes, ensuring accuracy and alignment with actual offerings.  Generates detailed recipe reports to support menu variety, compliance, and nutritional standards. Ensures all digital signage reflects correct menu items, descriptions, and dietary information to support a clear and consistent guest experience.  Collaborates with the Culinary and Operations teams during menu development sessions to accurately capture and enter the intended food-service presentation into the signage system.
  • Utilizes extensive systems knowledge and analytical expertise to identify, develop, and implement process improvements across dining technology platforms, operational systems, and databases. Evaluates workflows and data processes to enhance efficiency, accuracy, and data integrity. Collaborates with stakeholders to optimize system functionality and align technology solutions with operational needs. Monitors system performance, analyzes user feedback, and recommends enhancements that improve reliability, reporting, and overall operational effectiveness.
  • Ensures a positive stakeholder experience through accurate, timely management of meal plan accounts, including establishing, updating, maintaining, and closing accounts as needed. Supports students, staff, and faculty by processing meal plan enrollments, account changes, and related transactions, while coordinating applicable charges, refunds, and adjustments. Reviews and evaluates requests for off-cycle meal plan changes, applying or waiving modification fees in accordance with established guidelines and individual circumstances. Provides responsive customer service and issue resolutions to ensure a seamless and efficient meal plan experience.
  • Acts as the subject matter expert on national menu labeling regulations, ensuring compliance across all digital and printed materials. Collaborates with stakeholders involved in menu communication and signage to verify that all signage accurately displays required information, including nutritional details and allergen information. Conducts regular audits of food service locations to confirm that displayed menus reflect items being served; makes timely updates as needed based on operational changes.  Oversees the item signage system, providing support and guidance to operations teams for ongoing maintenance and content accuracy.
  • Maintains accurate, up‑to‑date meal plan policies, web content (including meal plan options, pricing, and change period information), and up-to-date ingredient information within the inventory system to support accurate and timely inventory processes.
  • Contributes to accurate and timely semester billing by preparing, validating, and maintaining meal plan program files and related account data. Investigates and resolves meal plan account discrepancies, billing concerns, and refund requests, ensuring issues are addressed efficiently and in accordance with established policies. Collaborates closely with the Finance team to review and process meal plan revenue adjustments, account corrections, and reconciliations, ensuring all transactions are accurately recorded in the general ledger. Supports the integrity of financial and operational reporting by maintaining accurate records, identifying inconsistencies, and implementing corrective actions as needed.

Minimum Education & Experience:

  • Associates Degree and 2 years of progressively responsible experience in administrative support required.
  • Or equivalent combination of education and experience.
  • 3 years of collegiate dining experience preferred.
  • 2 years of menu systems administrative experience preferred.


Knowledge, Skills & Abilities:

  • Exceptional database entry procedures, organization, communication, time management, and problem-solving skills required.
  • Proficient in using office software and tools and computer applications, including but not limited to MS Word, Outlook, and Excel required.
  • Capacity to manage a large volume of work and track multiple projects through to completion required.
  • Excellent interpersonal skills and able to work with a diverse audience required.
  • Strong attention to detail and a commitment to accuracy required.
  • Ability to execute independent judgment, establish appropriate priorities, monitor deadlines, organize correspondence, materials, and action items required.
  • Skills in recipe building, as well as weights and measurement conversion abilities
  • preferred.


Licenses and Certifications:

  • ServSafe certification within 12 months of hire required.
