Summary of Job Duties:
The Department Business Administrator position will oversee the scheduling coordination of all administrative and fiscal matters related to faculty, residents, CRNAs, and anesthesia tech schedules. This position is highly specialized and requires meticulous attention to detail, advanced Excel proficiency, clear and professional communication with faculty and staff at all levels, and clinical scheduling experience. Accuracy is critical, as errors in scheduling, payroll, or leave data directly affect faculty and staff pay and departmental operations. This position monitors sick, vacation, and all other leave for the department and ancillary staff within ICE. This position will also manage UKG and payroll functions for the department and ancillary staff within ICE. This position directly assists with the management of faculty, CRNA, and resident excess payments.The ideal candidate for this position would be self-motivated and a proactive problem solver. Effective communication skills are essential, including the ability to break down complicated steps and procedures so they are easily understandable to users, and to clearly convey scheduling, payroll, and policy information both verbally and in writing. Strong attention to detail is critical, as this position regularly manages sensitive payroll, leave, and scheduling data where accuracy directly impacts faculty and staff. The ideal candidate also has advanced Excel skills, including the ability to build formulas, organize large data sets, and produce accurate, well-formatted reports.
Qualifications:
Bachelor's degree in Business, Health Care Administration, Finance, Accounting, or related field plus four (4) years of experience in business, finance, or administration required.
Responsibilities:
Manage the departmental scheduling platform (Qgenda), including working with the vendor on custom report creation, beta testing, report validation, data integrity, and system optimization.
Administer payroll processes, including timesheet processing, leave balance monitoring, issue resolution, and ensuring compliance with institutional policies.
Build and maintain complex Excel workbooks and formulas to track schedules, payroll data, and productivity, requiring a high degree of accuracy and attention to detail.
Facilitate meetings, complete forms and reports, and clearly communicate scheduling, payroll, and policy information to faculty, staff, and leadership.
Collaborate with internal and external entities, and support the development of departmental policies and procedures.
Perform a wide range of additional duties as needed to support departmental operations and leadership priorities.
Coordinate departmental projects, support implementation, and monitor quality assurance metrics to ensure ongoing process improvement.
Assist in budget management by monitoring expenditures, reconciling reports, processing invoices, managing inventory, coding expenses, and preparing documentation to explain variances or identify savings.
Provide backup to department Administrative Coordinators in assisting with procurement and travel duties, as well as facilitating department grand rounds.
Perform other duties as assigned.
