Overview
Directly reporting to the Associate Athletic Director for Facilities & Operations, this position is responsible for managing day-to-day operations at the tennis facility in addition to servicing facility users. Acts as a main point of contact for all activities in the tennis center including open recreational hours, varsity matches tournaments, and rentals. Complete oversight of tennis match/tournament management; managing casual wage employees and student staff and scheduling. Lead liaison for athletics facilities for the Yale Bowl Complex in addition to the tennis center. Act as facility manager on site for determined athletic competitions and events. Coordinates with Yale facilities and users on service requests, vendors, and general facilities improvements/maintenance. Manages the electronic membership system in conjunction with the POS company to adapt programming to organizational needs.
Job specific duties:
Enforces procedural rules and regulations. Monitors personal safety of athletic facility users.
Manages the membership software. Schedules use of facility. Monitors compliance with schedules. Evaluates and seeks opportunity for revenue at the tennis facility.
Hires and schedules part-time staff for membership programming and rental events. Trains staff about information to communicate to members, instructions on how to complete member transactions, and educating on rules and regulations.
Maintains security of facility and equipment. Opens and closes facility ensuring that users have left the premises. Inspects and maintains the general condition of facilities.
Ensures appropriate maintenance and safety of the facility and recommends and assists with minor repairs.
Completes financial reports to update Athletic Business Office. Maintains budget for tennis facility needs. Operates, maintains and dispenses specialized equipment, tools, and vehicles.
Works in conjunction with Director of Rentals to execute contracts for external events in relation to the tennis facility and other YBC facilities. Meets with constituents on event logistics and acts as lead for tennis facility rentals.
Act as secondary lead to Director of Rentals for external summer events as needed
Acts as lead liaison at Yale Bowl Athletic Complex facilities. Address issues and submits service requests as needed. Ensures facilities are being locked and unlocked at appropriate times
Working with external vendors for timely maintenance of the facility, making sure POS system reflects facility programming, and any other needs for YBC facilities
Adheres to all Yale University, Ivy League, and NCAA rules and regulations
Performs additional duties as assigned in support of facilities and operations.
Required Skills and Abilities
1. Nights and weekend availability are required; hours are subject to change.
2. Strong written and oral communications skills. Ability to communicate with coaches, administrators, internal/external groups, vendors and Yale Facilities.
3. Strong organization and attention to detail. Ability to analyze, evaluate and develop recommendations for efficiencies in operations.
4. Proficient in computer operation and Microsoft Office suite. Ability to learn 25 Live (scheduling software), membership software, POS Systems and other job specific programs.
5. Ability to multi-task, work under pressure and meet deadlines. Set-up and breakdown equipment for matches, tournaments, and events. General understanding of tennis rules and match operations.
Preferred Education and Experience
Master’s degree preferred. At least 1 year of tennis and customer service experience preferred.
Principal Responsibilities
1. Plans and manages the scheduling, logistics, and operations of all events and programs for the facilities. 2. Responsible for the management of special event and facility rentals. 3. Serves as the Facilities Event Manager for all large rental events and assigned intercollegiate events. 4. Estimates budget requirements for assigned areas. 5. Plans and schedules all maintenance and repair work for assigned facilities. 6. Coordinates the use of assigned athletic facilities for summer camps. 7. Develops and implements facility policies regarding safety, security, liability, maintenance, ADA, budget, and personnel.
