Overview
The Assistant Director of Events for Yale Center for Customer Insights (YCCI) and the Yale Program on Stakeholder Innovation and Management (Y-SIM) at the Yale School of Management (SOM) will lead the marketing, content management, and event planning for events for two academic centers:  The Yale Center for Customer Insights (YCCI) the Yale Program on Stakeholder Innovation and Management (Y-SIM). This position reports to the YCCI Executive Director.

Job Duties Assigned

  • Work with center Directors to use convention (e.g. events, executive education and other touchpoints) to deepen engagement and relationships with key stakeholders.

  • Manage speaker, VIP and client relations. Develop and innovate systems to consistently improve efficiency and customer satisfaction.

  • Manage support staff and vendors to assure the highest quality experiences. Oversee event and workshop attendee experience, including identifying and developing systems and processes for sharing pertinent information, pre-leads, or logistics.

  • Direct high-profile, large-scale, and multifaceted events, executive visits and speaking engagements, executive education programs, advisory board meetings and academic roundtables featuring distinguished speakers and scholars with flawless execution.

  • Develop and manage a calendar of events across two centers, gaining alignment with internal stakeholders on goals, timelines, marketing cadence and budget.

  • Lead internal status of progress-tracking across projects and centers, including providing updates to leadership.

  • Collaborate with center Marketing leads to develop a compelling marketing, sales and/or sponsorship strategy as needed for each event.

  • Improve and systematize documented operating processes and administrative protocols of the department and work to ensure compliance with school and university policies and to ensure consistent learning and improvement.

  • Responsible for event operations from start to finish.

  • Build and maintain strong internal and external partnerships to enhance the quality and impact of Center events, activities, and relationships.

  • In coordination with Center leadership, develop and monitor budgets for all programs.


Required Skills and Abilities
1. Experience in planning events or project management, with an ability to manage multiple events or projects in parallel, experience tracking multi-stage projects or processes to completion and ability to balance short term and long-term needs.
2. Superior oral and written communication skills. Proven organizational skills and attention to detail. Proficiency with Windows and Microsoft products.

3. Superior interpersonal skills to interact effectively and represent the school well with participants, faculty, students, administrators, and corporate contacts.
4. Excellent problem solving and conflict resolution skills. A team player who works well with other members of the staff. A leader with a positive and can-do attitude who supports the mission of the centers.

5. Some night and weekend work. May include travel.

Preferred Skills and Abilities
1. Master’s degree.

2. Five years of experience in related field.

3. Experience in a management role in event planning, event management, or marketing desired.

4. Experience with project management software such as Asana.

Principal Responsibilities

1. Manages and leads research on various federal rules and regulations as well as University policies and procedures to resolve problems and determine the best course of action for the functional area. 2. Recommends course of action to higher authority for the handling and disposition of problems related to the functional area. 3. Counsels faculty, students and staff on issues related to administrative operations of the University function and areas of concern for the function. 4. Manages statistical and analytical information regarding office activities and areas of operational and administrative concern for the function. 5. Leads in long-range planning for the office activities of a specific functional area. 6. Interprets and administers various University and federal policies and regulations. 7. Disseminates accurate and up-to-date information regarding areas of concern. 8. Formulates and establishes policies regarding area’s function. 9. Manages a staff of exempt and non-exempt employees. 10. May perform other duties as assigned. Required Education and Experience Minimum requirement of Bachelor’s Degree in related field and three years of experience or an equivalent combination of education and related experience.
