Job Summary

This role is responsible for providing basic tactical and strategic administrative support to upper-level executives within the organization, scheduling appointments, managing calendars, handling phone calls and emails, and coordinating travel plans. The role entails general administrative tasks like photocopying and mailing documents, acting as a primary point of contact for internal and external stakeholders, and conducting basic research. The role involves drafting and formatting documents, organizing meetings, and coordinating administrative work within and across departments and divisions.

Additional Responsibilities

  • Coordinate end-to-end planning and execution of Canon Alliance governance forums, including Presidential Meetings, Steering Committees, Joint Business Meetings (JBMs), and executive reviews. 
  • Track executive decisions, action items, and follow-up commitments across HP and Canon leadership teams.
  • Prepare executive briefing materials, presentations, meeting summaries, and communication packages for senior leadership.
  • Manage governance calendars, meeting cadence, and key business milestones.
  • Coordinate executive visits, customer events, and alliance workshops, including logistics and travel arrangements.
  • Serve as a primary liaison between HP and Canon stakeholders, ensuring effective communication and coordination across global teams.
  • Maintain alliance documentation, SharePoint sites, meeting repositories, and governance records.
  • Support event spending, purchase orders, invoices, and expense tracking.
  • Assist with business operations activities, including reporting, planning reviews, and executive dashboards.
  • Handle highly confidential information with professionalism, discretion, and sound judgment.

Additional Preferred Experience

  • Experience supporting Vice Presidents or senior executives in a global organization.
  • Experience coordinating executive-level meetings, governance processes, and large-scale business events.
  • Experience working with strategic partners, alliances, or cross-company programs.

Education & Experience Recommended

  • High School Diploma/General Education Diploma (GED)/Higher Secondary education or commensurate work experience or demonstrated competence.
  • Typically has 6-8 years of related work experience, preferably in senior/advanced general administrative support, office services, or a related field.

Pay & Benefits

The pay range for this position is $32 to $49 USD per hour (applies to United

States of America candidates only). Pay varies by work location, job-related

knowledge, skills, and experience.
