Northrop Grumman Mission Systems has an opening for an Administrative Functional Support 3 to join our team of qualified, diverse individuals. This position will be supporting both Charlottesville and Waynesboro VA facilities.
This role requires 100% full-time onsite support.
What You'll Get To Do:
In this position you will be supporting the Quality & Mission Assurance and Environmental Health & Safety organizations located at the Charlottesville and Waynesboro VA sites. You will work closely with site leadership, customers, and government representatives, both internally and externally. The ideal candidate will have outstanding verbal and written communication and interpersonal skills; demonstrated ability to interact effectively across all levels of the organization and with outside organizations/customers; the ability to protect and maintain confidentiality; and the ability to execute tasks and projects independently. To be successful you must be an exceptional team player, proactive, self-motivated, well-organized and detail oriented. You must be able to work with minimal supervision, provide excellent follow-through, exercise good judgment, demonstrate flexibility and agility, manage schedule conflicts, prioritize multiple tasks with competing deadlines, and work extended hours as needed. This position requires clear verbal and written communication skills, the ability to multitask and manage competing priorities with a positive attitude, and the capacity to lift approximately 25 pounds daily.
The selected candidate will be responsible for, but not limited to, the following:
Providing administrative support to site leadership, as assigned
Communicating professionally with internal and external customers and executives as needed.
Providing active calendar management: maintaining employee schedule visibility, scheduling meetings, categorizing/color codes for ease of consumption, deconflicting incoming requests based on priorities, keeping team apprised of short notice changes, maintaining discretion regarding calendars and content.
Meeting support: preparing rooms ahead of meetings, logging in to the computer, joining teleconference, opening files; managing catering, coffee/water service, as required.
Managing workspaces: ensuring conference room equipment, kitchens, hallways, printers remain in reasonable working order, submitting tickets and following-up with Facilities/IT, when necessary.
Maintaining departmental SharePoint homepage and controlled documents.
Maintain and track department employee training requirements within LMS.
Managing sites’ employee safety shoe voucher system.
Coordinating departmental employee suggestion system (i-Card).
Maintaining a high level of teamwork: promoting collaboration, fostering communication within the team, providing support & coverage for other AA’s, as needed.
Making domestic and international travel arrangements, preparing expense reports.
Ordering necessary supplies and maintaining inventory with budget approval.
Assist departments with tracking expense budgeting and capital requests.
Coordinating visitor requests with security department, hoteling assistance.
Basic Qualifications:
High school diploma or GED and 4 years of experience working in a customer service or administrative support role
High proficiency and experience with Microsoft Office Suite, primarily Outlook, Teams, PowerPoint, Excel, Word, SharePoint, and having the ability to create and manipulate professional deliverables
Full mastery and experience of digital collaboration tools (Zoom, Teams, etc.) and knowledge of protocols for virtual or hybrid gatherings, understanding features (chat, screenshare, breakout rooms), along with the ability to troubleshoot and solve minor issues in real time
Preferred Qualifications:
Senior leadership administrative support, to include management of proprietary data and handling of sensitive information
Experience working with travel agencies and partners to coordinate itineraries for domestic and international travel
Experience coordinating high-visibility meetings, and other events/activities for distributed teams
Familiarity with Northrop Grumman-specific systems (Concur, CaterTrax, DSEA, iTRIP, Facilities Maintenance Requests, SmartBuy, etc.)
Experience making catering arrangements for meetings and large events
Knowledge of NGC resources, policies, and procedures
Ability to obtain and maintain a US Security Clearance
Bachelors/Associates Degree
