Northrop Grumman's Corporate Office of the Chief Technology Officer (CTO) is seeking an Administrative Assistant to join our highly committed and fast-moving team.  The CTO’s office leads Northrop Grumman’s enterprise technology development activities, including technology strategy, strategic partnering, mission architecting and engineering, and science and technology (S&T) customer engagement.  This dynamic and fast-paced scope of effort requires that the team collaborates with all of Northrop Grumman’s businesses and functions and regularly orchestrates multi-sector meetings and customer engagements across the country.

The position is full-time on-site and located in either our Linthicum, MD facility or our Falls Church, Virginia HQ office.  The position will require travel between the two facilities approximately once/week.

In this role, the selected candidate will be highly motivated, collaborative, detail orientated, assertive as necessary, and friendly in the performance of the Administrative Assistant role.  The individual will be responsible for supporting approximately 6 directors and will also be expected to contribute to additional activities as requested by the CTO’s executive assistant and the CTO office’s operations manager.

The selected candidate will be responsible for following duties, in addition to other tasking as assigned:

  • Serve as a focal point for the organization and communicate with internal and external customers and executives, professionally representing the corporation and organization.

  • Manage leadership calendars, including scheduling, prioritizing, and resolving conflicts; coordinate meeting logistics; and support basic follow‑up on key correspondence.

  • Perform office functions such as arranging in‑person and hybrid meetings and conferences, preparing materials and room/technology setup, and responding to and routing calls as needed to ensure timely and accurate follow‑up.

  • Assist in maintaining the organization's electronic collaboration sites and folders (e.g., SharePoint and Teams).

  • Assist in event planning and activities of major organization initiatives and reviews.

  • Provide operational support for special projects; research and obtain information, help plan and ensure follow-through of assigned tasks. 

  • Arrange domestic travel and prepare expense reports. 

  • Arrange multi-leg international travel, travel documentation (passport, visa, export compliance, etc.), and prepare post-trip expense reports. 

  • Arrange on-site visits, including foreign visitor requests.

  • Schedule meetings and trips with organizations and individuals in different time zones across the US, Asia, Europe, and the Middle East.

  • Operate independently to meet requirements of leadership team and offer expertise to assist other functions within the organization.

  • Follow-up on open actions to ensure deadlines are met, and gather, compile, and report on information relevant to assignments. 

The selected individual will be adept in the use of Microsoft 365 and other collaboration and productivity tools (e.g., Outlook, Teams, Word, Excel, PowerPoint, SharePoint) and will work with minimal supervision while exercising good judgment; demonstrating flexibility and agility; prioritizing multiple tasks with competing deadlines; managing schedule conflicts; and providing excellent follow‑through.

Basic Qualifications:

  • High school diploma and a minimum of eight (8) years additional education and/or experience in the administrative professional or related field or an associate’s degree with six (6) years of experience or a bachelor’s degree with four (4) years' experience in project management or administrative support.  

  • Experience organizing, maintaining, and deconflicting schedules, meetings, and travel arrangements

  • Experience with Microsoft Office Suite including Word, PowerPoint, Outlook, Excel

  • Experience with Concur, travel planning, and expense reporting

  • Experience with Workday, I-Buy, NG My IT, iTRIP (or equivalent business procurement, enterprise service, and business travel software)

Preferred Qualifications:

  • Experience establishing and maintaining online collaboration sites and document repositories (e.g., SharePoint)

  • Demonstrated ability to prepare highly professional, executive-level briefings (e.g., PowerPoint presentations)

  • Experience scheduling and supporting classified meetings, including understanding room and video teleconferencing (VTC) and networking requirements based on the security level of a meeting.

  • Ability to professionally and effectively communicate both written and verbally with internal and external stakeholders of all levels, demonstrating tact, diplomacy, discretion and judgment when conveying and gathering and sharing relevant information.

  • Associate’s or Bachelor’s degree

  • Active US government Secret clearance and ability to obtain additional security accesses

Primary Level Salary Range: $63,500.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
