Northrop Grumman Aeronautics Systems has an opening for an Administrative Assistant 4- Functional Support to join our team of qualified, diverse individuals. This role will support our Test and Evaluation directors within the Flight Test Organization. This position will be located in on site in Palmdale, CA.

This position is in-office, unable to accommodate a telecommute/hybrid schedule. The selected individual will use software productivity tools and have the ability to work daily in office with minimal supervision while exercising excellence in professionalism, good judgment, flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts and providing excellent follow through.

Job Responsibilities:

  • Provide administrative support to the Sr. Director and Director of Palmdale Test Team and Department Managers.
  • Compose high level correspondence from Sr. Leadership, review drafts and finished documents for appropriate grammatical usage.
  • Properly handle high-level and confidential/proprietary information.
  • Daily support of various tasks provided by the leadership team.
  • Tasks include Concur domestic travel booking, expense reports, outlook calendar meeting coordination and planning.
  • Maintain org charts for Sr. Leadership and departmental changes.
  • Track progress of and ensure management accountability of brief flow-downs.
  • Create power point presentations, word documents, and excel files/ spreadsheets as needed.
  • Maintain action items and notes during meetings.
  • Organize and reserve conference rooms, plan beverages and meals as needed.
  • Facilitate meetings / run the computer and agenda for daily staff meetings and other leadership level meetings, as needed.
  • Maintain building office supplies and any supplies the leadership and departmental teams need to complete their daily tasks.
  • Maintain seating charts and update name tags, as needed for departmental team and Sr. Leadership. 
  • Assist as needed with new employee onboarding.
  • Answer questions relating to office operations and established policies and procedures.
  • Coordinate large and high-level meetings.
  • Maintain records, PowerPoint charts, and attendance for our executive injury / safety weekly meetings.
  • Support and travel to Edwards AFB or other local sites as the business requires.

Basic Qualifications:

  • High School Diploma or GED equivalent and 6 years related experience.
  • Related experience working in a customer support or administrative assistant role.
  • Must have an active U.S. Government Secret Clearance or higher clearance, with a background investigation completed within the last 6 years or currently enrolled into Continuous Evaluation.
  • The ability to obtain Special Programs Access (SAP) prior to the commencement of employment, within a reasonable amount of time as determined by the company to meet its business need.
  • Experience in Microsoft Office tools including Outlook, PowerPoint, Excel and Word (creating power point presentations, word documents, and excel files/spreadsheets as needed.)
  • Ability to organize and reserve conference rooms
  • Ability to support and travel to other local sites as the business needs.

Preferred Qualifications:

  • Proficient with MS Office tools – including word, PowerPoint, and Excel.
  • Experience working with travel agencies and/or Concur travel booking and submitting expense reports.
  • Experience coordinating meetings, and other events/activities with (ex. Outlook, Microsoft Teams)
  • Experience with purchasing tools (iBuy, SAP, or similar)
  • Excellent communication, interpersonal skills, and the ability to interface with all levels of employees and management.
  • Experience maintaining action items and notes during meetings required.
  • Experience in organizing and reserving conference rooms (deconflicting as needed)
  • Experience planning beverage and meals as needed for team events in excess of 15 people.
  • Experience in utilizing and modifying SharePoint Sites.

Primary Level Salary Range: $66,600.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
