Position Overview:

We are seeking a highly detail-oriented Service Support Coordinator to join our team. This is an entry-level opportunity ideal for someone who thrives in a structured, fast-paced, and paperwork-heavy environment.

In this role, you will support the end-to-end administrative coordination of Maintenance Customer Orders (MCOs)—from initial setup through to completion and invoicing. While this role has minimal direct client interaction, you will collaborate closely with a variety of internal stakeholders across service and operations teams.

Success in this role requires strong computer proficiency, exceptional attention to detail, and the ability to manage high volumes of administrative work with accuracy.

Location: Edmonton, AB
Schedule: Full-time | 7 days on / 7 days off | 12-hour shifts

Job Description:

Key Responsibilities

Service Planning & Initiation

  • Review and verify service case information for MCO creation
  • Open MCOs and work orders, ensuring alignment with approved scope, budget, and schedule
  • Review service history, documentation, and applicable programs
  • Ensure all service and commercial requirements are met prior to job initiation
  • Maintain accurate and organized document control

Service Process Coordination

  • Support Repair Planners and Service Supervisors during job execution
  • Maintain real-time updates in systems (Salesforce, M3, SWIP, etc.)
  • Process adjustments for labour, parts, and billing throughout the job
  • Schedule and support pre-, mid-, and post-job meetings, capturing action items
  • Coordinate logistics such as transportation and third-party contractor documentation
  • Identify and escalate risks impacting schedule, scope, or cost

MCO Closure & Invoicing

  • Ensure all required documentation is complete and accurate (labour, billing, warranties, reports)
  • Support timely job closure, invoicing, and warranty processing
  • Identify and escalate delays to drive efficient turnaround
  • Validate quality and completeness of files prior to invoicing

Internal Stakeholder Support

  • Communicate regularly with internal teams to support workflow and priorities
  • Respond to service-related inquiries and support approvals and scheduling
  • Participate in internal meetings to track progress and align on priorities

What You Bring

Skills & Abilities

  • Exceptional attention to detail in a high-volume, paperwork-heavy environment
  • Strong computer skills (Microsoft Office; Salesforce or ERP systems are an asset)
  • Excellent organization and time management skills
  • Strong communication skills for internal stakeholder collaboration
  • Analytical thinking and problem-solving abilities
  • Ability to manage multiple priorities in a structured, process-driven role

Experience & Education

  • Post-secondary education in administration, business, or a related field (preferred)
  • 2–4 years of experience in administrative, coordination, or support roles
  • Experience in construction, oil & gas, forestry, or service environments is an asset
  • Exposure to service, billing, or warranty processes is beneficial
